START WITH HOW YOU TEACH

Your expertise.
Your business model.

A provider may consider your billing practices, processing history and how long after payment you deliver the service. Make the connection between each charge and what the customer receives clear.

A BETTER FIRST CONVERSATION

Bring the business
behind the payments.

A clear program brief helps explain how you sell, collect payments and deliver value. Keep expected sales separate from actual processing history, and connect the numbers to your offer.

Use the coaching merchant account preparation checklist
  1. Your offer

Describe your customer, program, total price and promised services. Include the sales page and enrollment terms. Be clear about what customers receive, what requires their participation and which outcomes you do or do not promise.

Bring: your program outline, pricing and the customer-facing offer.
  2. Your payments

Outline expected monthly sales, usual payment amounts and your largest charge. Separate upfront purchases, deposits, finite installments and renewals. If you already process, bring the statements and refund or dispute context the reviewing provider requests.

Explain: what gets charged, when it gets charged and whether the figures are actual or projected.
  3. Your delivery

Show when sessions, recordings, materials and community access become available. Explain how customers reach support, request changes or cancel, and describe any work or access that continues after the final payment.

Connect: the payment schedule, delivery milestones and the records your team keeps.
CHOOSE WITH THE FULL PICTURE

The account matters.
So do the details.

Your merchant account supports card processing and settlement. The gateway passes payment information; billing tools manage charges; your course and booking tools manage delivery. Confirm what is included and who handles each part.

01

Business & platform fit

Can the provider support your specific offer, customer locations and payment schedule? Confirm compatibility with your exact account, gateway, course platform, plan and checkout—not just a familiar software name.

02

The complete cost

Which transaction, monthly, gateway, billing and other charges apply? Ask what happens to fees when you refund a payment, and compare written offers using the same sales assumptions.

03

Funding & reserves

What funding schedule, processing limits or reserve terms apply? Separate money temporarily held from fees you pay. Understand how rolling reserves work before accepting the terms.

Availability, approval and account terms depend on the specific business and provider review. Account approval alone does not confirm a software integration or automate customer access.

BRING THE RIGHT DETAILS

Useful records.
A connected experience.

Go beyond the application. These practical guides help your team connect a payment to the service, the customer’s request and the next action.

GUIDE 01 / SERVICE DELIVERY

Show what
you delivered.

A successful charge does not explain which session took place or whether a customer received access. Build a service record that another member of your team can follow.

  • Connect sessions and access to the purchased program.
  • Identify the date, source and owner of each record.
  • Keep unresolved requests visible for the next handoff.

You’ll work toward: a practical delivery ledger, without collecting unnecessary customer information.

GUIDE 02 / CUSTOMER REQUESTS

A clear process
when plans change.

Stopping future payments, issuing a refund and changing remaining services can require different actions. Start with the request, then record the decision and who will act.

  • Separate the billing instruction from the refund decision.
  • Verify the payment result before reporting completion.
  • Check remaining sessions, materials and commitments.

You’ll work toward: a cancellation handoff with an owner, a verification step and a clear customer update.

GUIDE 03 / MEMBERSHIP ACCESS

Keep payments
and access in step.

A billing status alone does not confirm access to your course, community or calendar. Identify what a member should receive, which system controls it and who checks the result.

  • Map billing events to the access decision under your terms.
  • Distinguish a failed renewal from a completed payment plan.
  • Verify each affected tool rather than assuming a change.

You’ll work toward: a membership state table and a way to test the important billing-to-access handoffs.

A LITTLE CLARITY

Questions before
you apply.

Start with what you know about the business. These answers help you frame the next conversation with your provider.

What if I don’t have processing history yet?

Describe the planned offer, pricing, customers and delivery schedule. Label sales projections as estimates, and ask what supporting information the provider wants for a new business. A preparation checklist cannot determine eligibility or replace an individual review.

Are installments the same as a subscription?

A fixed payment plan divides an agreed purchase into a finite series of charges. A renewing membership charges for continuing periods of service. Explain the total commitment, charge dates, cancellation terms and what access remains after payments finish. Confirm the actual billing behavior with your provider.

Will the account work with my course platform?

Compatibility needs confirmation for the proposed account, gateway, platform and billing arrangement. Ask about your exact setup, including existing subscriptions and customer payment details. Account approval alone does not establish an integration or a migration plan.

Can I discuss a high-ticket or advance-paid program?

Bring the largest charge, total program commitment and time between payment and delivery into the discussion. Describe how you fulfill the offer and handle customer requests. Ask what the provider can support and which account terms would apply; no approval or limit is guaranteed.
